How to Collect PPWR Packaging Data From Suppliers
A practical workflow to match supplier files to products, extract and normalize packaging data, link evidence, and follow up on PPWR data gaps.
You know which packaging information your approved PPWR process needs. Your suppliers do not send it in one consistent structure. One provides a spreadsheet, another a packaging specification, and another a declaration and test report in separate email threads.
The collection problem is therefore not “ask for a PPWR PDF.” It is:
Supplier file → product and packaging match → extraction → normalization → evidence link → gap detection → automated enrichment or supplier follow-up
1. Define the supplier request
Do not send “Please provide all PPWR data.” Give suppliers a versioned template with:
- product identifiers: your SKU, supplier code, MPN and GTIN;
- packaging levels and component relationships;
- requested facts, units and controlled values;
- accepted evidence types and required document metadata;
- applicability choices such as not applicable or unknown; and
- response owner and due date.
Allow suppliers to return their existing documents as well as structured fields. A rigid spreadsheet-only request can discard useful evidence already held in a specification.
2. Ingest every source without losing context
Accept spreadsheets, PDFs, packaging specifications, declarations, test results and email attachments into a controlled intake. Record supplier, received date, file hash or version, original filename and request batch. Preserve the original even when values are extracted into a table.
3. Match products before trusting attributes
Use SKU, MPN, GTIN, supplier item code, model name and document text to resolve the product. Then identify the packaging level, component and configuration. Route family-level or low-confidence matches to review rather than copying data to every variant.
4. Extract and normalize packaging facts
Extract candidate materials, composition, weights, units, packaging identifiers and referenced evidence. Normalize 0.25 kg to the chosen unit, but retain the original value and source location. Map supplier terminology to controlled values with visible transformation rules.
5. Link evidence and declarations
A populated field should point back to its supplier specification, technical document, test evidence or declaration, including page, section, version and date. Link a PPWR Declaration of Conformity to the packaging it identifies and to supporting records accepted by the responsible team.
6. Identify missing, conflicting and stale data
Run completeness and quality rules after matching:

7. Enrich safe gaps and ask suppliers only what they know
Some gaps can be filled from another authoritative internal source or by a deterministic conversion. Preserve provenance and never present inferred data as supplier-declared data. Group the remaining questions by supplier, product family and missing field so each supplier receives one focused follow-up instead of repeated emails.
8. Validate and write accepted data back
A reviewer sees the original document, extracted value, normalized value, match confidence and conflicts together. Accepted data can then be written to PIM, ERP or the compliance system with the source link and review status intact.
