Air filters look like the simplest item in an HVAC catalog, yet they generate a steady stream of mismatches. The size printed on the frame is a nominal label, while the filter itself is usually about half an inch smaller in width and height and slightly thinner than its nominal depth. Supplier files often carry only one of the two, and it is not always clear which one they mean.

Efficiency ratings are the second problem. MERV comes from ASHRAE 52.2, ISO 16890 uses a different test and reporting scheme, and several retailers and brands publish their own scales. None of these convert cleanly into each other, so a record that stores a single efficiency number without naming its test method cannot be compared across suppliers.

Performance values only mean something alongside the conditions they were measured at. Airflow, initial resistance and dust holding capacity all depend on face velocity. Pack quantity matters just as much: filters are often priced per case but ordered per each, and a missing case count turns a routine reorder into a pricing error.

These fields are commonly absent from price lists and basic feeds, even though the information usually exists in a datasheet, label or installation manual. Treat an empty value as a request for evidence, not as permission to fill it from a similar model.

Buyers and counter-sales reps choosing air filters ask questions like these. Each one needs a specific field, sourced for the exact variant.

  • The grille says 20x25x1 but my old filter measures 19-1/2 by 24-1/2. Is this the right one?
  • Will a MERV 13 filter restrict airflow too much on my system?
  • How many filters are in a case, and can I buy them individually?
  • Does this replace the filter my furnace manufacturer specifies?

From supplier file to record

  1. Resolve identity first. Link the supplier SKU, manufacturer part number and packaging identifiers without merging distinct variants or pack sizes.
  2. Extract with the source attached. Pull values from rows, tables and datasheets, keeping the raw text, unit and page or row reference.
  3. Map to your classification. Assign the ETIM, ECLASS, UNSPSC or internal class your company licenses, and keep the supplier's original terms.
  4. Review, sync and watch. Hold conflicts and safety-related values for a category expert, write approved values to ERP or PIM, and recheck when the supplier sends a new file.

FAQ

Why should a filter record carry both nominal and actual dimensions?

The nominal size is what a buyer reads off the grille or the old filter and searches for, so it is the fit key. The actual size is what physically slides into the rack, and it differs by manufacturer and depth. Store both as separate fields with the same axis order and unit, and treat nominal as the value customers filter on. Keeping them apart also lets you catch supplier files that put actual dimensions in the nominal column.

How should MERV, ISO 16890 and brand-specific efficiency scales be stored?

Give each rating system its own field, named with its test method: MERV from ASHRAE 52.2, MERV-A where the manufacturer reports Appendix J results, and the ISO 16890 group and percentage. Proprietary retailer or brand scales can be kept as channel attributes but should never be converted into MERV. The methods test different particle ranges and conditions, so any conversion table is an approximation that turns a documented value into an invented one.

Why do airflow and resistance values need a face velocity attached?

Resistance rises with the speed of air through the filter face, so a pressure drop figure without its velocity cannot be compared with another supplier's. Common test points are 300 and 500 fpm, and suppliers pick different ones. Store the velocity alongside each performance value, either as a companion field or as part of a structured value, and reject records that give an initial resistance with no test condition.

Is UL 900 Class 1 or Class 2 still a valid value for a filter record?

Current editions of UL 900 no longer assign Class 1 or Class 2; a filter is simply classified to the standard or not. Older spec sheets and legacy item masters still carry the class designations, so treat them as stale values to be reverified. Store the flammability listing as a controlled value based on the manufacturer's current documentation or the certifier's online directory, and keep the source document linked to the record.
