Replacement lamps are bought to fit something that already exists, so the record has to answer fit questions first: bulb shape, base, overall length, voltage and, for LED tubes, how the lamp is wired into the fixture. Supplier data frequently mixes ANSI shape names with metric equivalents, writes the same base several ways, and lists an equivalent incandescent wattage where the actual input wattage belongs.

LED lamps add further traps. A lamp may dim cleanly on some controls and flicker on others. Enclosed-fixture and damp or wet location suitability are stated in small print. LED tubes come in types that use the existing ballast, bypass it, or run from an external driver, and choosing the wrong one creates rework. Rules on which lamp types may be sold also differ by jurisdiction and change over time.

The template below separates physical fit, light output, control compatibility and evidence so a counter rep can match an existing lamp and a buyer can compare replacements on measured values. Each attribute should be checked against the manufacturer's current packaging or specification sheet rather than copied from a marketplace listing.

From supplier file to record

  1. Resolve identity first. Link the supplier SKU, manufacturer part number and packaging identifiers without merging distinct variants or pack sizes.
  2. Extract with the source attached. Pull values from rows, tables and datasheets, keeping the raw text, unit and page or row reference.
  3. Map to your classification. Assign the ETIM, ECLASS, UNSPSC or internal class your company licenses, and keep the supplier's original terms.
  4. Review, sync and watch. Hold conflicts and safety-related values for a category expert, write approved values to ERP or PIM, and recheck when the supplier sends a new file.

FAQ

Why is wattage no longer enough to describe a bulb?

With incandescent lamps, wattage was a rough proxy for brightness. LED lamps produce far more light per watt and vary widely in efficacy, so input wattage says little about output. Store initial lumens and input watts as separate numbers, and keep any equivalent-wattage claim in its own text field, clearly labeled as a comparison. Search and substitution logic should key on lumens, CCT, shape and base, not on the equivalence claim, which manufacturers calculate in different ways.

How do ANSI bulb shape codes relate to metric designations?

ANSI shape codes combine a letter for the shape with a number giving the maximum diameter in eighths of an inch, so an A19 is about 19/8 in across. Designations used in Europe and elsewhere often give the diameter in millimeters, such as A60. The two can describe similar lamps but are not always exact matches. Store the shape as the governed code for the market you sell into, keep the alternate designation in its own field, and check maximum overall length before treating two lamps as interchangeable.

Which standards and listings belong on a lamp record?

In North America, self-ballasted lamps, including many LED replacement lamps, are commonly listed to UL 1993, and the listing covers location suitability such as damp or wet. ANSI C78 series standards describe lamp shapes and characteristics, and the C81 series covers bases and sockets. Energy program qualifications are separate from safety listings. Store the safety listing, location rating and each program qualification as distinct evidence fields, sourced from the manufacturer's current documentation rather than from reseller descriptions.

Why can a lamp be saleable in one state but not another?

Federal efficiency rules for general service lamps apply nationally, and several states have added their own restrictions, for example on certain fluorescent lamps, with different effective dates. A catalog therefore needs to know, per SKU, which jurisdictions restrict its sale. Store the lamp technology, lamp category and any published jurisdiction restrictions as structured fields, record the source and the date checked, and have compliance staff confirm the current rules. The product record supplies the facts; the legal determination stays with people who track the regulations.
