Syringes and needles are ordered in huge volumes, and small data errors turn into wrong-item deliveries on a clinical floor. A single line often combines several products: a syringe capacity, a needle gauge and length, a tip style and a safety feature, written as something like "3 mL 21G x 1-1/2 LL". Each of those values needs its own field, and combination products need to be distinguished from syringes or needles sold alone.

Units and conventions add friction. Gauge is a number that runs opposite to diameter, lengths appear in inches or millimetres, hub colors follow an ISO scheme that suppliers describe loosely, and thin-wall needles share a gauge with regular-wall ones while having a larger inner diameter. Packaging runs from single units to boxes and cases, each with its own device identifier.

A buyer needs gauge, length, capacity, tip type, safety mechanism and sterility at a glance, plus a reliable unit of measure and pack count, so a box is never received as a case. Regulatory details such as Rx status and latex statements should be taken from the manufacturer's labeling, not rewritten.

From supplier file to record

  1. Resolve identity first. Link the supplier SKU, manufacturer part number and packaging identifiers without merging distinct variants or pack sizes.
  2. Extract with the source attached. Pull values from rows, tables and datasheets, keeping the raw text, unit and page or row reference.
  3. Map to your classification. Assign the ETIM, ECLASS, UNSPSC or internal class your company licenses, and keep the supplier's original terms.
  4. Review, sync and watch. Hold conflicts and safety-related values for a category expert, write approved values to ERP or PIM, and recheck when the supplier sends a new file.

FAQ

Should needle size be stored as gauge or millimetres?

Store both. Gauge is how clinicians order, so keep it as a controlled field, and store the nominal outer diameter in millimetres as a number taken from the manufacturer's data or the applicable ISO needle tubing standard. Store length in millimetres with the inch value for display, because US labeling often uses inches. Never derive gauge from a free-text size string without review, since gauge and length are frequently run together, as in "21G x 1-1/2".

Do syringes and needles need a UDI, and is it the GTIN?

Devices sold in the US generally must carry a unique device identifier, subject to FDA rules and any exceptions that apply to the specific device. When the labeler uses GS1, the device identifier is a GTIN, and each package level has its own. Store the UDI-DI per package level and check it against the device's GUDID listing. Confirm whether a given product is subject to UDI requirements from the manufacturer's labeling or FDA's guidance, not from catalog assumptions.

Why does cannula wall thickness need its own field?

Needles of the same gauge share an outer diameter, but thin-wall and extra-thin-wall versions have a larger inner diameter, which changes flow rate and the force needed to inject. Clinicians and pharmacies sometimes specify a wall class for viscous medications or specific procedures. Store the wall class as a controlled value from the manufacturer's documentation. If the manufacturer does not state it, leave it empty rather than assuming regular wall.

Should safety and non-safety versions share one product record?

No. A syringe or needle with a sharps injury protection feature is a different device, with its own part number, device identifier and regulatory documentation, and OSHA's bloodborne pathogens standard requires covered US employers to consider and document safer devices in their exposure control plan. Keep separate records, link them as alternates, and store the safety mechanism type as a controlled field. That lets buyers find the safety equivalent of a conventional item without merging data that differs.
